**Welcome to Stratofusion!** This guide will help you get the most out of your unified cloud storage experience.

## Getting Started

### What is Stratofusion?

Stratofusion is a unified cloud storage interface that brings together all your cloud storage services (Google Drive, OneDrive, Dropbox, Box, pCloud, Jupiter) into a single, easy-to-use interface.

### Key Features

- **Unified Interface** - Access all your cloud storage in one place

- **Universal Search** - Search across all connected services simultaneously
- **Scheduled Backups** - Automate your backup workflows
- **Mobile-First Design** - Works seamlessly on phones, tablets, and desktops

## Connecting Cloud Services

### Adding Your First Service

1. **Sign in** to Stratofusion using your email
2. **Click "Connect Service"** in the header or sidebar
3. **Select a service** (Google Drive, OneDrive, Dropbox, etc.)
4. **Authorize access** - You'll be redirected to the service's login page
5. **Grant permissions** - Allow Stratofusion to access your files
6. **Return to Stratofusion** - You'll be redirected back automatically

If you sign in with Microsoft, that only creates or opens your Stratofusion account. OneDrive is still connected separately through **Connect Service → OneDrive** when you want to grant file access.

### Multi-Account Support

You can connect multiple accounts from the same service:

1. **Click your profile** in the top right
2. **Select "Connected Services"**
3. **Click "Add Account"** next to the service
4. **Follow the authorization flow**
5. **Give your account a name** (e.g., "Work Google Drive", "Personal OneDrive")

### Managing Connected Services

- **View all services** - Click your profile → "Connected Services"
- **Disconnect a service** - Click the "Disconnect" button next to the service
- **Reconnect** - If a service shows an error, use the dashboard or connected-services view to refresh authorization
- **Healthy services** - Service Health cards stay informational when everything is working and only show action buttons when attention is required

## Browsing Files

### Navigation

- **Service Selector** - Choose which cloud service to browse
- **Breadcrumbs** - Click any folder in the path to navigate up
- **Folder Navigation** - Click folder names to open them
- **Back Button** - Use your browser's back button to go back

### File List

The file list shows:

- **Name** - File or folder name
- **Size** - File size (folders show "-")
- **Modified** - Last modification date
- **Type** - File type or "Folder"

### Sorting & Filtering

- **Sort by column** - Click column headers to sort
- **Reverse order** - Click the same header again
- **Filter by type** - Use the filter dropdown to show only files or folders

## Searching Across Services

### Basic Search

1. **Click the search icon** in the toolbar
2. **Enter your search term** (e.g., "resume", "invoice")
3. **Select services** - Choose which services to search
4. **Click "Search"**

Results show files from all selected services with:

- Service icon indicating where the file is located
- File name, size, and modification date
- Quick actions (open, copy, move, delete)

### Full-Text Search (Premium)

Full-text search looks inside document contents:

1. **Enable full-text search** in search options
2. **Enter your search term**
3. **Select services** that support full-text search
4. **View results** with content snippets

**Supported Services:**

- ✅ Google Drive (all file types)
- ✅ OneDrive (Office documents, PDFs)
- ⚠️ Dropbox (limited support)

**First Search Performance:**
The first search in a browser session may take longer than usual due to:

- Server-side indexing initialization
- Cache warming
- Service authentication and connection setup

An informational banner will appear on your first search to let you know this is normal. Subsequent searches will be much faster. You can dismiss this banner at any time.

**Search Results Display:**
Search results include a "Path" column showing the full folder location for each file:

- Helps you identify files across different folders and services
- Long paths are automatically truncated with "..." for readability
- Hover over any path to see the complete folder location in a tooltip

### Search Tips

- **Use quotes** for exact phrases: `"annual report 2024"`
- **Use wildcards** for partial matches: `report*`
- **Filter by date** using the date range picker
- **Save searches** for quick access later
- **Check the Path column** to understand where files are located across your cloud services

## File Operations

### Selecting Files

- **Single file** - Click the checkbox next to the file
- **Multiple files** - Click checkboxes for each file
- **Select all** - Click the checkbox in the table header
- **Deselect all** - Click the header checkbox again

**Selection Limits:**

- Free tier: Up to 100 files
- Premium tier: Up to 1,000 files

### Copy Files

1. **Select files** to copy
2. **Click "Copy"** in the toolbar
3. **Choose destination service** and folder
4. **Click "Copy"** to start

**Features:**

- Preserves folder structure
- Shows progress for each file
- Can cancel during operation
- Automatic retry on errors

### Move Files

1. **Select files** to move
2. **Click "Move"** in the toolbar
3. **Choose destination service** and folder
4. **Click "Move"** to start

**Note:** Moving files removes them from the source location.

### Delete Files

1. **Select files** to delete
2. **Click "Delete"** in the toolbar
3. **Confirm deletion**
4. **Files are moved to trash** (if supported by the service)

### Upload Files

1. **Click "Upload"** in the toolbar
2. **Choose files or folders** from your computer
3. **Select destination** service and folder
4. **Click "Upload"**

**Upload Limits:**

- Maximum file size: 5GB per file
- Maximum batch size: 50GB total
- Folder structure is preserved
- Folder uploads are processed one file at a time to prevent duplicate folder creation
- Upload activity logs include failed filenames and backend error details when a file fails

### Download Files

1. **Select files** to download
2. **Click "Download"** in the toolbar
3. **Files download to your browser's download folder**

**Note:** Large files may take time to prepare for download.

### Rename Files

1. **Right-click a file** or select and click "Rename"
2. **Enter new name**
3. **Click "Rename"**

## Backup & Sync

### Creating a Backup

1. **Select files or folders** to backup
2. **Click "Backup"** in the toolbar
3. **Choose destination** service and folder
4. **Select schedule:**
   - **Run now** - Execute immediately
   - **Daily** - Run every day at a specific time
   - **Weekly** - Run once per week
   - **Monthly** - Run once per month
5. **Set time** (for scheduled backups)
6. **Click "Create Backup"**

### Backup Features

- **Timestamped folders** - Each backup creates a folder like `backup-2025-10-14_14-30-00`
- **Automatic execution** - Scheduled backups run automatically
- **Progress tracking** - Monitor backup progress in real-time
- **Error notifications** - Get notified if a backup fails

### Managing Backups

View and manage your backups on the **Jobs** page:

1. **Click your profile** → "Jobs"
2. **View all backup jobs** with status
3. **Actions:**
   - **Retry** - Retry a failed backup
   - **Cancel** - Cancel a scheduled backup
   - **View details** - See backup progress and logs

## AI Indexing

AI indexing powers semantic search for supported files in connected accounts and folders.

### Where to Monitor It

- **Dashboard panel** - The dashboard shows a compact AI Indexing panel with active or recent runs
- **Dedicated page** - Open **Profile → AI Indexing** or visit `/user/ai-indexing`
- **Activity logs** - AI indexing lifecycle events also appear in the activity log

### When You Will Be Prompted

- Stratofusion only shows the indexing prompt when the current account or folder actually needs indexing, has partial coverage, is actively indexing, or has an indexing error
- Fully indexed folders no longer show a misleading "Start indexing" prompt before search
- Internal uploads, copies, moves, renames, deletes, and completed backup/sync writes now mark the affected AI scope as out of date and can conservatively auto-schedule follow-up indexing without waiting for a manual click
- If the app server restarts during AI indexing, a stale active run is resumed when its AI indexing status is loaded again. Completed items remain settled, and only pending or in-progress items continue.
- External provider changes are checked through a background reconciliation path where supported, so the UI can move a scope into an out-of-date or checking-updates state even when the change happened outside Stratofusion

### What You Will See

- The AI Indexing page updates active runs while it is open and shows the last
  refresh time. If the live stream cannot connect, the page falls back to a
  short polling interval while jobs are active.
- **Running** - Indexing is in progress
- **Completed** - The current scope has indexed coverage available
- **Completed with issues** - The run finished, and some eligible files indexed while others failed or were skipped
- **Failed** - The indexing run needs attention before semantic results will be reliable
- **Pending updates** - Stratofusion has already queued a conservative follow-up re-index after recent changes
- **Checking updates** - Stratofusion is reconciling provider-side changes before deciding whether re-indexing is needed

### Job Controls

- **Cancel** stops pending, running, or retrying jobs and keeps stale recovery
  from restarting the cancelled job.
- **Retry** starts a new job from the original account or folder scope for
  failed, cancelled, or completed-with-issues jobs. Completed indexed-file state
  is reused where possible so retry focuses on remaining work.
- **View failures** opens item-level failure details where available, including
  skipped or failed counts and recorded reasons such as unsupported type,
  extraction failure, vector backend failure, auth failure, or rate limiting.
- **Dismiss** hides terminal job history from the page. It does not delete
  semantic search data or indexed content.

### Best Practice

- Re-index after adding important searchable files to a folder if semantic results have not caught up yet
- Use the AI Indexing page to inspect failures instead of relying only on search results
- Use the activity log for a historical audit trail of indexing runs
- Changes made directly in a provider's native app now have a Google-first reconciliation foundation, but webhook-grade parity is not complete across every provider yet, so use **Refresh** or re-index if results seem stale after external edits
- Admins can reset a user's AI search state from **Admin -> Users and Roles**. The reset removes semantic vectors before clearing AI indexing jobs and indexed-file metadata for that user.

## Managing Jobs

### Jobs Page

Access at: **Profile → Jobs** or `/user/jobs`

The Jobs page is for backup and sync jobs. AI indexing has its own page at **Profile → AI Indexing**.

### Job Status

- **Scheduled** - Waiting to run at scheduled time
- **Running** - Currently executing
- **Completed** - Successfully finished
- **Failed** - Encountered an error
- **Cancelled** - Manually cancelled

### Job Actions

- **View Details** - See progress, logs, and file list
- **Retry** - Retry a failed job
- **Cancel** - Cancel a scheduled or running job
- **Delete** - Remove job from history

## Settings and Account Management

### Managing Your Settings

- **Display time zone** is configured from **Settings** at `/user/settings` and controls application date/time display where user-facing timestamps are formatted.
- **Session security** settings, including auto logout timeout and warning lead time, are configured from **Settings**.

### Managing Your Account

- **Profile and security settings** stay available from the account menu and `/user-profile`
- **Email addresses, connected identities, and device sessions** are still managed through the Clerk-powered account screens
- **Send Feedback** is available from the settings menu and opens a pre-filled draft to `feedback@stratofusion.io`
- **Account deletion is admin-managed** so billing, background jobs, AI semantic search state, tokens, quotas, and audit records can be cleaned up in the correct order before the authentication record is removed

### Requesting Account Deletion

If you need an account removed:

1. **Contact a Stratofusion admin or support**
2. **Cancel any active subscription first** if the account is still billed through Stripe
3. **Wait for confirmation** that the account cleanup completed successfully

You will no longer see a direct self-delete action in Settings. This is intentional and prevents orphaned data or incomplete billing cleanup.

## Tips & Best Practices

### Performance Tips

1. **Use batch operations** - Select multiple files for better performance
2. **Schedule large backups** - Run during off-peak hours
3. **Monitor memory usage** - The app shows memory usage for large operations
4. **Use folder uploads** - Faster than uploading files individually

### Security Tips

1. **Review permissions** - Regularly check connected services
2. **Use strong passwords** - Protect your Stratofusion account
3. **Enable 2FA** - Add two-factor authentication if available
4. **Disconnect unused services** - Remove services you no longer use

### Organization Tips

1. **Use consistent naming** - Makes searching easier
2. **Create folder structures** - Organize files logically
3. **Use backups** - Protect important files with scheduled backups
4. **Tag files** - Use consistent naming conventions for easy filtering

### Troubleshooting

**Service won't connect?**

- Check your internet connection
- Try disconnecting and reconnecting
- Clear browser cache and cookies
- Use the footer or settings-menu support link to open `support@stratofusion.io` if the issue persists

**Files not showing?**

- Refresh the page (Ctrl+R or F5)
- Check if you're in the correct folder
- Verify service is connected
- Check service status page

**Operation failed?**

- Check error message for details
- Verify you have permissions
- Check file size limits
- Retry the operation

**Slow performance?**

- Close other browser tabs
- Check your internet speed
- Try smaller batch sizes
- Clear browser cache
